Privacy Policy

True Seam Athletics (“True Seam,” “we,” “us,” or “our”) provides school athletics, team-management, coaching, and player-development tools through our websites and Apple applications (collectively, the “Services”). This policy explains what information the Services collect, how it is used and shared, and the choices available to schools, teams, users, parents, and guardians.

1. Information We Collect

We collect information that users and team administrators provide to operate the App.

School, coach, and team account information

• Names, email addresses, account identifiers, and authentication information
• School and team names, school location and website, team codes, invitations, leadership assignments, coach roles, and settings
• Team colors, sports, groups, calendars, and other customization choices

Passwords are handled by Firebase Authentication. True Seam does not display or store readable copies of passwords in its school or team databases.

Billing and school verification information

• Billing contact name and email, selected plan, subscription status, transaction identifiers, and billing preferences
• Billing address and payment information submitted to Stripe
• Tax-exemption status and certificates a school chooses to upload for review

Stripe processes card and bank-account details. True Seam does not store complete payment card or bank-account numbers. Tax-exemption certificates are restricted administrative records and are not visible to players or ordinary team members.

Player and roster information

• Player names
• Graduation years and team affiliations
• Player access codes and internal account identifiers
• Player type, throwing hand, pitch selection, custom pitch types, position, groups, and roster settings

Athletic, wellness, and activity information

• Bullpen assignments, pitch results, velocity entries, command results, session ratings, and coach reviews
• Player-reported arm feel, soreness, fatigue, and related check-in notes
• Hitting, throwing, workout, recovery, practice-plan, calendar, attendance, and completion information
• Strength maxes, prescribed and completed weights, repetitions, timed distances, body weight, and coach-created performance metrics such as vertical jump or wingspan
• Activity requests, coach responses, coaching suggestions, and team assignments

This information supports athletic planning and communication. True Seam is not a medical service, and the App is not intended to diagnose, treat, cure, or prevent any medical condition.

Communications and user-created content

• Direct messages between coaches and players
• Team announcements
• Coach feedback, player notes, requests, practice plans, workout templates, custom drills, football plays, and baseball play diagrams
• Read, review, and completion status

Direct coach-player conversations are visible to the participating player and coach. The Team Owner may review all direct conversations for team safety and administrative oversight, with sender and recipient identities shown. Other coaches can access only conversations in which they are the participating coach. Other team communications are visible to the intended player, coach, team, or selected group, depending on how the sender addresses the content. They are not posted publicly through the App.

Voice features

Solo Bullpen Mode can use the device microphone and Apple Speech Recognition to interpret spoken pitch results and commands. Voice access is optional and requires device permission. When supported by the device, the App requests on-device speech recognition. True Seam does not save raw voice recordings or upload raw voice recordings to its Firebase database. Recognized results that the player confirms may become part of the bullpen record.

Apple may process speech or diagnostic information as part of providing its speech-recognition service, subject to Apple’s own privacy terms and the user’s device settings.

Device, security, and service information

The App and its service providers may process technical information needed to authenticate users, prevent abuse, deliver notifications, maintain security, and provide reliable service. Depending on the service, this may include an IP address, user-agent information, authentication tokens, device or installation identifiers, notification tokens, and service logs.

The web application uses essential browser storage, such as local storage, session storage, and authentication storage, to keep users signed in, remember interface choices, open TV displays, and complete account setup. True Seam does not use this storage for third-party advertising or cross-site behavioral tracking.

True Seam does not access or upload a user’s device contacts. A user may choose a file from their device only when using a feature that specifically requests an upload, such as submitting a school tax-exemption certificate.

2. How We Use Information

• Create and maintain school, coach, team, roster, and player access
• Authenticate coaches and secure player sessions
• Synchronize authorized school and team data across web browsers, iPad, iPhone, and Mac
• Provide bullpens, workouts, practices, calendars, templates, play design, requests, messages, announcements, and notifications
• Show player progress, team information, coaching feedback, and readiness guidance
• Apply school and team roles, invitations, and access controls
• Process subscriptions, invoices, tax-exemption review, and related account administration
• Respond to support, privacy, and deletion requests
• Protect users, investigate misuse, troubleshoot problems, and maintain the App
• Meet legal and App Store obligations

We do not use personal information for third-party advertising or cross-app tracking.

3. How Information Is Shared

Within a school or team

Player and team information is available to authorized coaches assigned to that team according to their role. School Owners and Athletic Directors may access and administer teams within their school as described in the Services. Player-facing information is available to the player associated with the applicable access code and secure session. Direct messages are limited to their participating player and coach, except that the Team Owner can review all team conversations for safety and administrative oversight. Announcements, activities, and plans are shared with their selected recipients.

Coaches and organizations that use True Seam are responsible for using team and player information only for legitimate team, coaching, safety, and administrative purposes.

School-controlled information

When a school provides student information or directs True Seam to process it, the school controls the use and maintenance of that information. True Seam processes it only to provide and support the school-authorized Services, follow the school’s documented instructions, maintain security, and comply with law. We do not use school-controlled student information for advertising, unrelated commercial profiles, or our own unrelated purposes.

Schools are responsible for determining whether their use of True Seam is authorized under the Family Educational Rights and Privacy Act (“FERPA”), state student-privacy laws, and their own policies, and for providing notices or obtaining consent when required. True Seam will reasonably assist a school with access, correction, export, deletion, security, and vendor-review requests relating to school-controlled information.

Service providers

• Google Firebase and Google Cloud, including Authentication, Cloud Firestore, Cloud Storage, Cloud Functions, and Hosting, for account functions, data storage, file uploads, and delivery of the Services
• Stripe for checkout, subscription management, invoices, payment processing, billing addresses, applicable tax calculation, and securely storing tax-exemption documents submitted for billing review
• Google Workspace and Gmail for operational emails such as invitations and support replies
• Apple, including CloudKit, Apple Push Notification service, Speech Recognition, and other operating-system services, for notifications and device features

These providers process information on our behalf or as independent platform providers under their applicable terms and privacy practices. We require service providers that process True Seam data on our behalf to maintain protections consistent with this Privacy Policy and applicable law.

Legal, safety, and business reasons

We may disclose information when reasonably necessary to comply with law or legal process, enforce our rights, investigate fraud or security incidents, protect safety, or respond to an emergency. If True Seam is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction subject to appropriate protections.

No sale of personal information

True Seam does not sell personal information and does not share personal information for cross-context behavioral advertising.

4. Data Storage and Security

True Seam uses administrative, technical, and organizational safeguards designed to protect information. These include authenticated coach accounts, short-lived player sessions, team-based permissions, role-based access, Firestore Security Rules, encrypted network connections, and service-provider security controls.

No electronic storage or transmission method is completely secure. We cannot guarantee absolute security, but we work to maintain protections appropriate to the information the App handles.

Firebase and Apple may process information in the United States and other locations where they or their service providers operate. Information may therefore be transferred to and processed outside the user’s state, province, or country.

5. Data Retention

We retain information while it is needed to provide the App, maintain an active team or account, satisfy legitimate operational needs, resolve disputes, protect security, and meet legal obligations.

School owners, team owners, and authorized coaches can delete certain school, team, or player data through available controls. Coaches can initiate account deletion through the Apple application. Users, parents, guardians, and school administrators may also request access, correction, export, or deletion by contacting us.

For school-controlled information, we follow the school’s valid retention and deletion instructions, subject to legal, security, backup, and contractual requirements. If a school account ends, the school should contact us to arrange any needed export and deletion. We do not retain personal information indefinitely merely because storage is available.

After deletion, information is removed from active True Seam records as reasonably practicable. Limited information may remain temporarily in service-provider backups, security logs, fraud-prevention records, or records retained where required by law. De-identified information that can no longer reasonably identify a person may be retained.

6. Choices and Rights

Depending on location and applicable law, users, parents, or guardians may have the right to:

• Request access to information associated with them or their child
• Request correction of inaccurate information
• Request deletion of an account, player profile, or related information
• Withdraw consent where processing is based on consent
• Object to or restrict certain processing
• Request a portable copy of certain information
• Appeal a denied privacy request or contact an applicable privacy regulator

Notification, microphone, and speech-recognition permissions can be changed in the device’s system settings. Disabling a permission may prevent the related feature from working.

To submit a request, email support@trueseamathletics.com. We may need to verify the requester’s identity and authority. When a school controls or originally provided the relevant information, we may refer the request to the school or ask the school to authorize the response.

7. Children and Minors

True Seam is currently intended for users age 13 and older. The App supports organized athletic teams whose players may include teenagers. It is designed to be administered by adult coaches, team owners, organizations, parents, or guardians rather than for unsupervised account creation by children.

A coach, team, school, organization, parent, or guardian must have appropriate authority and obtain any consent required by law before creating a profile for a user under 18 or allowing that user to access the App.

Children under 13 may not use True Seam at this time, and a coach or organization must not create a True Seam player profile for a child under 13. We do not knowingly collect personal information directly from children under 13. If we learn that information from a child under 13 has been added without legally sufficient authorization, we will take reasonable steps to restrict or delete it. A parent or guardian may contact support@trueseamathletics.com to request review, correction, or deletion.

True Seam does not permit minors’ information to be used for targeted advertising, and the App does not include third-party advertising.

8. State and International Privacy Rights

Users may have additional rights under state, national, or international privacy laws. True Seam will respond to valid requests as required by applicable law. We will not discriminate against a user for exercising a privacy right.

9. Changes to This Policy

We may update this Privacy Policy as the App, our practices, or legal requirements change. We will update the “Last updated” date and provide additional notice when required. Continued use of the App after an update means the App will handle information under the updated policy, subject to applicable consent requirements.
